Role Overview: The Core of Office Operations
As an Office Management Secretary II, you will be the primary coordinator for office communications and documentation. Your role is essential for ensuring that information flows accurately and that the professional environment of the Council is maintained at a high standard.
Key Responsibilities & Duties
- Correspondence Management: Type general correspondence, letters, reports, bulletins, circulars, and charts with high accuracy.
- Digital Communication: Manage official email accounts, responding to and forwarding emails as directed.
- File Tracking: Record and monitor the movement of all incoming and outgoing files to ensure no documentation is misplaced.
- Office Maintenance: Ensure the office is opened punctually and maintains a high level of neatness and orderliness.
- Stationery Control: Monitor stock levels of office stationery and ensure supplies are available when needed.
- Reception Services: Attend to telephone calls professionally and take detailed messages for appropriate action.
- Records Management: File copies of all official letters and documents in the appropriate archives.
Candidate Requirements & Qualifications
NACTVET is looking for candidates who combine traditional secretarial excellence with modern digital proficiency.
- Education: Holder of a Diploma in Secretarial Studies from a recognized and accredited institution.
- Technical Speed: Must have passed Shorthand (English) and Hati Mkato (Kiswahili) at a speed of 100 words per minute.
- Computer Literacy: Highly proficient in modern office software, specifically:
- MS Word (Document processing)
- MS Excel (Data tracking)
- MS Publisher (Circulars and bulletins)
- Internet & Email systems
- Attributes: High level of punctuality, confidentiality, and organizational skills.
