Job Title: Procurement Officer

Job Purpose
The Procurement Officer will be responsible for managing day-to-day procurement and supply activities in line with Amref Procurement Policies and Procedures, under the guidance of the Head of Procurement Unit. The role supports both project implementation and office operations.
Key Responsibilities
Procurement and Supply Management
- Prepare bidding documents for goods, works, and consultancy services
- Request and analyze quotations (RFQs) and provide clarifications to vendors
- Coordinate procurement plans from projects and departments
- Process procurement transactions using the e-tender portal and ERP system
- Issue Local Purchase Orders (LPOs) and follow up on delivery timelines
- Verify supplier invoices against LPOs and coordinate payments with Finance
- Supervise sample verification in collaboration with user departments
- Monitor supplier performance and ensure value for money
Contract and Tender Management
- Assist in drafting and managing procurement contracts
- Participate in supplier negotiations and draft award letters
- Coordinate Tender Committee meetings and prepare minutes
- Support evaluation teams and review evaluation reports
- Maintain proper procurement records and documentation
Qualifications and Experience
- Bachelor’s Degree in Procurement and Logistics Management
- Registered Procurement and Supplies Professional
- CPSP Certificate
- Minimum of 5 years’ experience in procurement, with at least 2 years in an NGO
- Strong skills in procurement systems, reporting, and supplier management
Skills and Competencies
- Excellent communication, negotiation, and interpersonal skills
- Ability to manage multiple procurement activities simultaneously
- Strong analytical and reporting skills
- Ability to resolve supplier and stakeholder disputes
Language Requirements
- Fluent in English (spoken and written)
- Fluent in Swahili (spoken and written)
Position: Intern / Volunteer – Procurement and Supplies
Location

Main Purpose
The internship aims to build capacity by providing practical knowledge and hands-on experience in procurement and supply chain management while supporting Amref’s daily procurement activities.
Key Responsibilities
- Assist in procurement of goods, works, and services for country and field offices
- Support preparation and analysis of quotations and procurement documents
- Assist in ERP approvals, LPO processing, and Goods Received Notes (GRN)
- Support contract preparation and invoice verification
- Participate in procurement capacity-building activities
- Assist in stores and inventory management
- Learn and comply with Amref procurement policies and procedures
Qualifications
- Bachelor’s Degree in Procurement and Logistics Management or a related field
- Basic computer skills and knowledge of office software
- Fresh graduates are encouraged to apply (no experience required)
Supervision
- Work under the Head of Procurement Management Unit
