Job Description
The Elizabeth Glaser Pediatric AIDS Foundation (EGPAF) is a global leader dedicated to preventing pediatric HIV infections and eliminating AIDS in children. In Tanzania, the Foundation has been operational since 2003, implementing large-scale health programs focused on HIV, TB, GBV, and Family Planning.
EGPAF is seeking an experienced and highly organized Senior Project Coordinator to provide comprehensive coordination, project management, and executive-level support to the Country Director/Chief of Party for the USAID Afya Yangu Northern Project. The position also supports the Country Management Team (CMT), serving as a key liaison between internal departments, project teams, stakeholders, and donors.
This full-time role requires a seasoned professional with excellent administrative, communication, and stakeholder-engagement skills. The Senior Project Coordinator will ensure efficient project execution, accurate reporting, timely documentation, and smooth coordination of high-level activities within the country office.
Duties and Responsibilities
1. Project Coordination
- Support the preparation, review, and timely submission of donor reports and project deliverables.
- Coordinate subgrantee management processes and ensure compliance with donor and EGPAF policies.
- Act as the focal point for award maintenance, including amendments, budget realignments, compliance checks, and prior approval requests.
- Organize, document, and follow up on outcomes of project meetings, including monthly reviews, start-up, and close-out sessions.
- Coordinate financial review meetings with in-country and headquarters teams, ensuring action items are tracked and completed.
- Work with the Country Internal Risk (CIR) team to monitor and follow up on financial risk mitigation actions.
- Assist in developing communication materials, presentations, fact sheets, and documentation of project best practices.
2. Executive Coordination
- Provide high-level administrative support to the Country Director/Chief of Party, ensuring timely follow-up on commitments, deadlines, and priority tasks.
- Coordinate communications with internal teams and external stakeholders, ensuring timely and professional responses.
- Review and align documents, contracts, MOUs, timesheets, and expense reports before submission for approval.
- Manage logistics for in-country travel, meetings, workshops, and visiting delegations.
- Coordinate agendas, itineraries, and meeting schedules for the Country Director and the Country Management Team.
- Serve as a liaison between the country office, project teams, and senior leadership to ensure smooth communication and workflow.
Job Requirements
Education
- Bachelor’s degree in Administration, Law, Management, Social Sciences, Public Health, or a related field.
Experience
- Minimum of 5 years of relevant experience in project administration or executive coordination.
- Prior experience working with international NGOs, donor-funded programs, or public health initiatives is an added advantage.
Skills and Competencies
- Excellent communication skills in English and Kiswahili (written and spoken).
- Strong organizational, planning, and time-management skills.
- Demonstrated ability to support senior leadership with professionalism and discretion.
- Strong understanding of Tanzania’s government systems, donor environment, and stakeholder networks.
- Experience in documentation, knowledge management, proofreading, copyediting, and formatting.
- Proficiency in Microsoft Office, Teams, SharePoint, and collaborative digital platforms.
